About Business Pulse

Know Your Numbers. Own Your Future.

Why This Exists

Business Pulse was born out of real pain. As a contractor and business owner, I spent years struggling to understand where the money was actually going. QuickBooks had the data, but it didn't give me the picture. Spreadsheets helped, but they were always out of date by the time I finished building them. I was making decisions based on gut feelings instead of real numbers — and it was costing me.

The stress of not knowing — not knowing if a job was profitable, not knowing if payroll was sustainable, not knowing if the business was actually growing or just busy — that emotional weight is what started this journey. It wasn't a business idea. It was a survival need.

The turning point came after attending Tony Robbins' Business Mastery, where the importance of truly knowing your numbers was drilled in relentlessly. Then I read Keith Cunningham's work on financial intelligence — the equations, the frameworks, the discipline of understanding what the numbers actually mean. Those experiences changed how I thought about my business.

But knowing what to track and actually tracking it are two very different things. For years, I painstakingly collected data, built spreadsheets, ran calculations by hand, and tried to piece together the full picture of my business. It took hours every week. The spreadsheets were always out of date. The CFO software that could do it cost $1,000 a month or more — built for companies ten times my size.

So I built what I needed. A tool that removes the complexity, eliminates the manual work, and makes financial intelligence affordable and accessible for contractors and small business owners. Plug in your QuickBooks. Connect your CRM. Get the truth about your business in minutes, not weeks.

Business Pulse is plug-and-play and deadly accurate — because the data comes straight from your accounting software and CRM through direct API connections. No manual entry. No stale spreadsheets. No guesswork. Just the truth about your business, updated automatically, with AI that helps you understand what the numbers mean and what to do next.

What Business Pulse Is

Business Pulse is a read-only financial intelligence platform designed for contractors, small business owners, and operators who need to understand the financial health of their business without hiring a CFO or spending hours in spreadsheets.

It connects to the tools you already use — QuickBooks Online for financials, GoHighLevel for CRM and pipeline data — and automatically syncs your data on a schedule you control. Then it calculates the metrics that matter: profit margins, labor efficiency, return on assets, pipeline health, cost per lead, and dozens more.

An AI-powered analyst sits on top of all your data — financial and CRM together — so you can ask questions in plain English and get answers grounded in your actual numbers. No data silos. No guesswork.

Data Sources

Business Pulse pulls data from the following sources. Every number you see on the dashboard traces back to one of these systems.

QuickBooks Online

Your primary financial data source. Connected via Intuit's official OAuth 2.0 API with read-only permissions.

Profit & Loss — Revenue, COGS, expenses, net profit by period
Balance Sheet — Assets, liabilities, equity, bank accounts, credit cards
Cash Flow Statement — Operating, investing, and financing cash flows
Time Activities — Employee hours worked, billable vs. non-billable
Employees — Active crew count, payroll data, contractor costs
Invoices — Invoice history, payment status, aging
GoHighLevel CRM

Your CRM and pipeline data source. Connected via GHL's Marketplace OAuth 2.0 API with read-only scopes.

Contacts — Total leads, lead sources, new leads per period
Pipeline & Opportunities — Deals by stage, values, close rates, win/loss
Appointments — Booked estimates, show rates, no-show tracking
Conversations — Message volume, response times, engagement
Pipeline Stages — Lead Received → Bid Scheduled → Bid Submitted → Bid Approved → Job Booked → Job in Process

How You Know the Data Is Legit

Trust is everything when it comes to your financial data. Here's exactly how Business Pulse ensures what you're looking at is accurate, secure, and verifiable.

Direct API Connection

Data comes directly from QuickBooks and GoHighLevel through their official APIs. There is no manual data entry, no copy-paste, and no intermediary. The numbers you see are the numbers in your accounting software.

Read-Only Access

Business Pulse uses read-only API scopes. It cannot create, modify, or delete any records in your QuickBooks or GoHighLevel account. It can only read and display data. No transactions are ever executed.

Encrypted & Isolated

All data is transmitted over HTTPS/TLS encryption. Each user's data is completely isolated — no data is shared between accounts or with third parties. OAuth tokens are stored securely and refreshed automatically.

Automated Sync

Data syncs automatically on a schedule you control (default: daily at 5:00 AM for QuickBooks, 5:30 AM for GoHighLevel). You can also trigger a manual sync at any time. Every sync is logged with timestamps so you know exactly when data was last updated.

Verifiable Source

Every metric on the dashboard can be traced back to its source. Revenue comes from your QuickBooks Profit & Loss report. Pipeline value comes from your GHL opportunities. You can cross-check any number against your source systems at any time.

AI Transparency

The AI analyst only works with your actual data — it doesn't make up numbers. When it provides insights, it references the specific metrics it's analyzing. AI-generated insights are clearly labeled and should be verified before making major business decisions.

What It Does

Executive Dashboard

Revenue, net profit, liquid cash, total assets, payroll, contractor costs, and workforce metrics — all in one view. Customizable time ranges from current month to 5 years. Drag-and-drop layout so you can arrange sections the way you think.

Key Performance Indicators

Profit margin, return on assets, labor utilization, labor-to-expense ratio, revenue per employee, revenue per hour, cashflow productivity, and more. Calculated automatically from your real data with formulas shown so you understand what each number means.

CRM & Pipeline Intelligence

See your entire sales pipeline by stage — from Lead Received through Job in Process. Track total leads, pipeline value, close rates, appointment show rates, and conversation engagement. Know exactly which deals need attention and where your pipeline is healthy or at risk.

AI Business Analyst

Ask questions in plain English and get answers grounded in your actual data — financial and CRM combined. "What's my cost per lead?" "Is my profit margin improving?" "Which pipeline stage has the most value?" The AI sees everything, not just one data source.

Crew Production & Labor Tracking

Track hours worked vs. hours available, labor utilization rates, revenue per hour, and workforce overhead. Understand whether your crew is being used efficiently and where labor costs are eating into margins.

Reports & Comparisons

Generate exportable reports, compare performance across time periods (month-over-month, quarter-over-quarter, year-over-year), and track job site profitability. See trends that are invisible when you're just looking at raw accounting data.

Team Management

Invite team members with controlled access. Share dashboard visibility with partners, accountants, or managers without exposing sensitive credentials. Multi-account support for operators managing multiple businesses.

How Data Sync Works

1

Connect Your Accounts

Authorize Business Pulse to read data from QuickBooks Online and/or GoHighLevel through secure OAuth 2.0. You'll be redirected to each platform to grant read-only permission. Your credentials are never stored — only secure access tokens that can be revoked at any time.

2

Initial Sync

On first connection, Business Pulse pulls your historical data — typically up to 5 years of financial history from QuickBooks and current pipeline/contact data from GoHighLevel. This initial sync may take a few minutes depending on data volume.

3

Automatic Updates

Data syncs automatically on a daily schedule you control. QuickBooks defaults to 5:00 AM ET, GoHighLevel to 5:30 AM ET. You can change the sync time or trigger a manual sync from the dashboard at any time. Every sync is logged with a timestamp visible on the dashboard header.

4

Cross-Reference Anytime

Every number on the dashboard maps to a specific report or data point in your source system. Revenue comes from your QuickBooks Profit & Loss. Pipeline value comes from your GHL opportunities. If something looks off, check the source — the data should match.
